One of the easiest ways to log flights in FLYTELOG is to email your GPX track files directly from your electronic flight bag (EFB) app. FLYTELOG will automatically create flights from these GPX files, extracting flight times, routes, and other information.

Supported Apps

You can email GPX files from any navigation app that supports GPX export, including:

  • SkyDemon
  • Garmin Pilot
  • ForeFlight
  • Any other EFB that can export GPX files

Step 1: Complete Your Flight

After landing, ensure your flight is recorded in your navigation app. The app should have saved the track log for your flight.

Step 2: Export or Share the GPX File

The process varies slightly by app, but generally:

In SkyDemon:

  1. Open the flight log or track
  2. Look for a "Share" or "Export" option
  3. Select "Export as GPX" or "Share GPX"
  4. Choose "Email" as the sharing method

In Garmin Pilot:

  1. Go to your flight log
  2. Select the flight you want to export
  3. Tap the share/export icon
  4. Choose "GPX" format
  5. Select "Email" to share

In ForeFlight:

  1. Open your flight log
  2. Select the flight
  3. Tap the share icon
  4. Choose "Export Track Log" or "GPX"
  5. Select "Mail" to email it

Step 3: Email to FLYTELOG

When the email compose window opens:

  1. To: Enter flights@flytelog.io
  2. Subject: The subject can be anything (or leave it blank)
  3. Body: You can leave the email body empty, or add any notes you want included in the flight remarks
  4. Attachment: The GPX file should already be attached

Important: Make sure you're sending the email from the email address associated with your FLYTELOG account. FLYTELOG uses your email address to identify which account to add the flight to.

Step 4: Send the Email

Click "Send" to email the GPX file to FLYTELOG. The email will be processed automatically.

Step 5: Wait for Processing

FLYTELOG will process your GPX file automatically. This usually takes just a few minutes. The system will:

  • Extract the flight date and times from the GPX file
  • Identify departure and arrival airports (within 5nm radius)
  • Calculate flight time from the track duration
  • Auto-populate PIC/SIC times based on pilot capacity
  • Create the flight in your account

Step 6: Review Your Flight

Once processed, you'll receive an email notification (if enabled) or you can check your FLYTELOG account:

  1. Log in to your FLYTELOG account
  2. Go to the Flights section
  3. Find your newly created flight (it should appear at the top of the list)
  4. Open the flight to review the details

Step 7: Edit and Complete the Flight

After the flight is created, you may want to:

  • Review the details: Check that dates, times, and airports are correct
  • Add additional information: Enter takeoffs, landings, PIC/SIC times, dual time, night time, IFR time
  • Add remarks: Include any notes about the flight
  • Verify the map: Check that the GPX track is displayed correctly on the map

Click Edit on the flight to make any changes or additions.

What Information is Extracted?

FLYTELOG automatically extracts the following from your GPX file:

  • Flight date: From the GPX track timestamp
  • Departure time: Start time of the track
  • Arrival time: End time of the track
  • Flight time: Calculated from track duration
  • Route: The complete flight track
  • Departure airport: Nearest airport to the start point (within 5nm)
  • Arrival airport: Nearest airport to the end point (within 5nm)

Tips for Best Results

  • Use the correct email: Send from the email address registered with your FLYTELOG account
  • One flight per email: Send one GPX file per email for best results
  • Check your email: You'll receive a notification when the flight is created (if email notifications are enabled)
  • Review promptly: Check your flights soon after sending to ensure everything imported correctly
  • Complete the details: Add any missing information like takeoffs, landings, and time breakdowns

Setting Up Email Sharing (First Time)

If this is your first time using email sharing:

  1. Open your navigation app
  2. Go to settings or preferences
  3. Look for email or sharing settings
  4. Add flights@flytelog.io as a contact or saved email address for quick access

This makes it faster to send flights in the future.

Troubleshooting

Flight Not Appearing

  • Check that you sent the email from the address registered with your FLYTELOG account
  • Verify the GPX file was attached to the email
  • Wait a few minutes - processing can take a short time
  • Check your spam folder for any error notifications
  • Verify the GPX file is valid (try opening it in another app)

Incorrect Information Extracted

  • Review the flight and edit any incorrect details
  • Check that your GPX file contains valid track data
  • Verify your navigation app is recording tracks correctly

Airports Not Identified

  • If airports aren't automatically identified, you can manually enter them when editing the flight
  • Ensure your flight started/ended near a recognized airport (within 5nm)

Email Not Sending

  • Check your internet connection
  • Verify your email app is configured correctly
  • Try sending from a different email client if available

Alternative: Manual Upload

If email doesn't work for you, you can also:

  1. Export the GPX file from your navigation app
  2. Save it to your device
  3. Log in to FLYTELOG
  4. Create a new flight or edit an existing one
  5. Upload the GPX file manually (see How to Add Photos and GPX Data)

Best Practices

  • Send immediately after flight: Email the GPX file right after landing while it's fresh
  • Review and complete: Always review imported flights and add missing details
  • Keep backups: Consider keeping copies of your GPX files as backups
  • Regular checks: Periodically review your flights to ensure all were imported correctly
